Emailing Customers in a Specific Order

Email everyone in a particular week's order, or only customers receiving a specific product or in a specific delivery area.

Written by Louise Dollimore

Delivery Event Emails let you contact the customers in a specific delivery. Use them to tell customers about changes to box contents, delivery delays, or anything else that affects a particular week's order.

Where to find it

Before orders close (Future Orders)

Go to Future Orders > View Preview > Email Details.

Use this to tell customers about upcoming changes while they can still adjust their orders, e.g. "Carrots replaced with beetroot this week".

After orders close (Active Orders)

Go to Active Orders > View Details > Orders > Email Customers.

Use this for updates once orders are being packed or delivered, e.g. a late substitution or a delayed delivery.

Choosing who to email

The Delivery Event Emails page lists the customers in that delivery. They're shown in groups, each with a count of how many customers it contains:

  • All: everyone in the delivery

  • Status: New: customers receiving their first delivery. Useful for a welcome note or tips on what to expect.

  • Status: Existing: customers who have had deliveries before

  • Area: one group per delivery area or dropsite, e.g. West Island or Dropsite 1

To email customers receiving a specific product

Use the Product Filter dropdown to choose a product, e.g., Small Fruit or Large Box. The lists update to show only customers with that product in their order. You can filter by one product at a time.

To email customers in a specific delivery area

Choose the group for that area, e.g., West Island. This is useful for route-specific updates such as a delayed delivery.

Each group has its own 'Send Email' button. Click it to open the email tool with that group's customers already added as recipients.

Writing and sending the email

The email opens in the email tool, with the recipients already added. You can add or remove recipients before sending.

  1. Choose the Email Type: Order or account update or promotional or marketing. You must select one before sending.

  2. Add a Subject.

  3. Write your message. Each email starts with a personal greeting (Hi {FirstName}), your shop's name and phone number are added automatically.

  4. Use the formatting toolbar to add bold, italics, lists, links or images, and the Preview tab to check how it looks.

  5. Press Send.

Things to know

  • Choose the right email type. If you select promotional or marketing, customers who have opted out of marketing emails won't receive it. Select order or account update for anything about their order or delivery so everyone in the delivery gets it.

  • Customer email addresses are hidden. Recipients are BCC'd, so customers can't see each other's details.

  • Replies come to you. Any replies go to your shop's email address.

  • Emails are saved to the customer's record. You can see emails sent in the last 45 days under Sent emails in the customer's Customer Overview.

Emailing other groups of customers

To email customers outside of a specific delivery, use Advanced Person Search instead. For example, you could reach everyone subscribed to a product, everyone in a delivery area, or customers who signed up within a date range. See Using Advanced Person Search.
