In Ooooby, managing delivery areas and drop sites (otherwise known as collection points) is crucial for ensuring efficient logistics and providing customers with convenient pickup options. This guide will walk you through the process of adding and editing delivery areas and drop sites, from defining zones for drivers to setting up communal pickup points.

Adding Delivery Areas and Drop Sites

  1. Preparation:

    • Delivery Areas: Define a zone for a set driver. Ensure the start and end points (usually the hub address) are entered into the system. If using alternatives to the address of your business they must be added first. See this article for how to manually add addresses

    • Drop Sites: An address where multiple customers can collect their orders. You can make a drop site private for exclusive access.

  2. Implementation:

  1. In the Admin Dashboard, navigate to Settings > Customer Mapping.

  2. Enter the Name of the delivery area or drop site and a unique Area Code (3 letters).

  3. Click Create Area. This action makes the area or site visible and editable in the Delivery Groups section.

Now that you have added the delivery area or drop site to the system, it's time to edit each one by following the steps below:

Editing Delivery Areas and Drop Sites

  1. Accessing Delivery Groups:

    • Go to Settings > Delivery Groups.

    • Find and click Edit for the area or site you wish to modify.

  2. Editing Details:

    • Name and Code: Previously created in the Customer Mapping step.

    • Delivery Day: Choose based on your delivery schedule and cut-off times.

    • Delivery and Packing Delays: Adjust based on the sequence of delivery days.

    • Packing Priority: Set the order for packing routes.

    • Driver: Assign a driver for areas or a host/driver for drop sites. (Note: Drivers should be set up as customers in the system first.)

    • Label Colour: Helps in distinguishing labels for drivers.

    • Start and End Addresses: Usually the hub address, unless alternatives were added.

    • Drop Site Settings: If setting up a drop site, include access codes for privacy and provide specific pickup instructions for customers.

  3. Click Save to update the delivery area or drop site details.

Limiting new customer sign ups using the delivery area and drop site functions

  1. Home delivery

    • If you need to prevent new customers from signing up to your hub for a limited period, shrink your delivery area to a size and location that will mean there is no likelihood of customers living in that area.

  2. Drop sites

    • Add an access code to the drop site you wish to stop new customers from signing up to. By doing this, customers will only be able to access and select the drop site if they have the code. Do this from the Admin Dashboard > Settings > Delivery Groups > Edit > add a code in the Access Code field > Save.

Note: If you action BOTH of the above at the same time (shrinking the delivery area and adding an access code to your drop site) and only have one drop site, no customers will be be able to sign up to the drop site, even with an access code.

Best Practices

  • Driver Setup: Remember to register drivers in the system before assigning them to delivery areas. Find out more about assigning user roles in this article

  • Drop Site Privacy: Use access codes to restrict visibility to selected customers, enhancing security and exclusivity.

  • Clear Instructions: For drop sites, provide detailed pickup instructions to ensure a smooth customer experience.
