Important: Add the Drop Site Address First

Before creating a drop site, add the drop site address to the system. See the guide on [Manually Adding Addresses].


What is a Drop Site?

A drop site is a designated collection point where multiple customers can pick up their orders. It can be a public site that anyone can use or a private location accessible only to specific customers using an access code.

Steps to Create a Drop Site:

  1. Add the drop-site address to the system.

  2. Add the drop-site name and code.

  3. Edit the drop-site details.

1. Add the Drop Site Address to the System

Navigate to Customers > Add Address in the Admin Dashboard.

  • Begin typing the address; if recognised, select the correct option.

  • If the address is not recognised or the red pin is incorrect, use manual override to adjust the address fields and pin location.

  • Click Save.

2. Add the Drop Site Name and Code

Navigate to Settings > Customer Mapping.

  • Scroll to the bottom of the page and fill in the fields:

    • Name: Enter the name of the drop site (e.g., "Collect from Farm").

    • Area Code: Assign a 3-letter code (e.g., "CFF").

  • Click Create Area. The new drop site will now be visible and editable in Delivery Group Management.

3. Edit The Drop Site Details

  • Navigate to Settings > Delivery Groups in the Admin Dashboard.

    • Click Edit next to the drop site you wish to modify.

    • Update the following fields:

  • Name & Delivery Area Code: Editable values from the previous step (2).

  • Delivery Day: Choose the appropriate delivery day based on your order cut-off times:

    • For single delivery days, select the day.

    • For multiple delivery days with one cut-off, select the first delivery day of the week.

    • For multiple delivery days with different cut-offs, choose the appropriate delivery day for the area.

  • Delivery Delay: For multiple delivery days, set the delay for areas delivered after the first day (0 for same day, 1 for next day, etc.).

  • Packing Delay: Match this to the delivery delay.

  • Packing Priority: Choose the order in which to pack this route (1, 2, 3, etc.).

  • Driver: Select the driver or drop-site host. Ensure the driver has been added as a customer beforehand.

  • Label Colour: Choose a label colour for easy identification.

  • Start/End Address: Use the address added in Step 1.

  • Requires Printout: Tick this box to require printouts for deliveries.

  • Is Drop Site: Ensure this box is checked.

  • Access Code: Set an access code for private drop sites.

    Private Drop Sites:
    For private use (e.g., a school), set an access code that only authorised customers can use. This ensures only specific customers can see and use the drop site.

💡 Tip: Private drop sites are ideal for limiting capacity or maintaining exclusivity for certain groups (e.g., school parents)

  • Drop Site Instructions:
    Provide clear instructions for customers collecting from the drop site. Include:

    • Collection point’s address: Enter the exact address of the collection point.

    • Collection times: Specify pick-up times (e.g., "Pick up between 9am and 5pm").

    • Location details: Provide any additional instructions (e.g., "Collect from the barn at the farm").

These instructions will be included in the customer's registration confirmation email, so ensure all details are accurate.

Click Save.


Key Fields to Remember

  • Is Drop Site: Make sure this box is checked when creating or editing a drop site.

  • Access Code: If it's a private site, use this to control who can access it.

  • Collection Instructions: Clearly communicate the collection details to customers.
