The Ooooby platform offers a sophisticated email communication system designed to cater to various informational needs and preferences of your customers. Understanding how to use these email streams effectively can enhance your communication strategy, ensuring that customers receive relevant and timely information without overwhelming them with unwanted messages.

Understanding Email Streams

Ooooby classifies emails into three distinct streams, each serving a specific purpose:

  1. Transactions: For automated emails related to orders and accounts, which are essential for transactional integrity. Customers cannot unsubscribe from this stream.

  2. Updates: Used for account updates and other important non-transactional information. Customers have the option to unsubscribe from this stream.

  3. News: Intended for promotional or marketing communications. Like updates, customers can opt out of receiving emails from this stream.

Composing Emails

When drafting an email within the system, you'll be prompted to select the type of email you're sending - either related to 'order or account updates' or 'promotion or marketing emails'. It's crucial to choose the appropriate category to respect your customers' communication preferences and comply with regulations regarding email consent.

Automated Emails

The system is equipped with a range of automated emails designed to streamline communication around orders and accounts. Some of these emails can be customised to better fit your hub's voice and specific information needs. Further information about automated emails can be found here.

Sending Emails to Individual Customers

To address specific inquiries or issues, you can send personalised emails directly from a customer’s overview page. This ensures targeted communication and helps in maintaining a direct line of communication with your customers. To send an email from a Customer Overview page click on the green 'Send Email' link in the Customer Details box.

Utilising Advanced Person Search for Emailing

After conducting an advanced person search, you have the option to email the resulting group of customers. This feature is particularly useful for sending targeted updates or information to a specific segment of your customer base. To navigate to Advanced Person Search from your admin dashboard go to Customers > Advanced Search.

Using the 'Send Customer Email' Button

Located in the Customers section of the Admin dashboard, this button facilitates the sending of emails to one or more customers, streamlining the process of reaching out directly from the dashboard.

Email Details Within an Active Order

Event-specific emails can be sent to inform customers about details pertinent to their upcoming deliveries. This functionality supports the efficient communication of changes, delays, or specific instructions related to a specific Active Order.

Special Email Types

  • Order Confirmation Emails: Confirm what customers can expect in their upcoming delivery, enhancing transparency and customer satisfaction.

Customer Replies

Replies to any emails sent from within the system will go directly to your email address, maintaining a clear channel for customer responses. You can view emails that have recently been sent to a customer in their Customer Overview, in the 'Sent emails' section.
